Following up enquiries, sending contract reminders, checking in before the big day — there's a lot of communication involved in a wedding business. EventPlan puts the routine stuff on autopilot so you can focus on the conversations that actually matter.

Email templates

Build a library of reusable email templates for every stage of the client journey — quote replies, follow-ups, booking confirmations, pre-event reminders, and more. Each template has a subject line, a rich-text body, and your email signature added automatically when sent.

Templates support mail merge tags so every message feels personal:

  • [CLIENTFIRSTNAME] — inserts the client's first name
  • [CLIENTLASTNAME] — inserts the client's last name
  • [EVENTDATE] — inserts the event date in short format
  • [EVENTLONGDATE] — inserts the full date, e.g. Saturday 14th June 2025
  • [EVENTTYPE] — inserts the type of event
  • [VENUENAME] — inserts the venue name

Templates can be set as email, WhatsApp, or booking form type — so the same system handles all your outbound communications.

Automated campaigns

Campaigns let you chain templates together into a sequence with a configurable gap between each step — days, weeks, or months. Assign a lead to a campaign and the messages go out automatically on schedule.

This is particularly powerful for enquiries that go quiet after the initial quote. A well-timed sequence — quote reply, gentle follow-up two weeks later, final nudge a month after that — can recover bookings that would otherwise have been lost. Each booking shows clearly which campaign it's assigned to, and you can remove it at any point if circumstances change.

WhatsApp

Send WhatsApp messages directly from the booking record — no switching between apps. WhatsApp uses the same template system as email, so you can build message templates and send them with one click. Incoming messages are visible and manageable within EventPlan, keeping the full conversation in one place.

WhatsApp requires a connected WhatsApp Business account, set up once in settings. WhatsApp is part of the CRM addon.

Post-event surveys

After a booking is completed, send your client a personalised survey link directly from their booking record. The survey covers the key areas clients are best placed to comment on — with structured questions covering everything from your presentation and the overall experience to whether they'd recommend you.

Results are stored against the booking and viewable at any time. The survey results dashboard gives you aggregated scores across all completed surveys — so over time you build a clear picture of what's working and where you can improve. New responses are flagged until you acknowledge them.

A dedicated inbox view shows all unread incoming messages — email and WhatsApp — in one place so nothing gets missed between events.
